Privacy Policy

This policy explains how renovation inquiry, attribution, and contact information is collected, used, protected, and retained.

Effective date and scope

Effective July 22, 2026. This policy applies to information submitted through this website, Project Hub, and enabled Orion phone-assistant services, together with the systems used to respond to renovation requests.

Information collected

Forms may collect confirmed project facts, name, phone or email, location, project type, property type, budget, timeline, scope summary, consent evidence, referral and campaign attribution, and optional photo or drawing notes. Project Hub may also retain client questions, answers, messages and files as project business records.

AI chat consent

Orion Concierge starts only after you explicitly agree to chat with the planning assistant. We apply automated masking for common email, phone, street-address and postal-code patterns before chat text is sent for AI processing and before the privacy-filtered transcript is stored, but automated masking may not identify every sensitive detail. An unlinked chat is retained for up to 30 days. If you submit a project request in the same signed session, the privacy-filtered chat is linked to that client history. Do not type private information in chat. If you do not agree, you may use the regular contact form instead.

Phone assistant transcripts

If the Orion phone assistant is enabled, it identifies itself and asks for agreement before the AI intake continues. Orion may retain the privacy-filtered text transcript after agreement. Orion does not retain call audio, recording links, or raw voice-provider webhook payloads in its renovation systems. A machine transcript may contain recognition errors.

AI-assisted planning

Consented public chat or phone text may be processed by approved AI services to answer planning questions and organize project facts. Persistent AI-provider storage is disabled where supported. AI output is planning guidance only and requires human verification for pricing, availability, permits, code, safety and other consequential decisions.

How information is used

Information is used to respond to an inquiry, assess project and service-area fit, prepare follow-up questions, coordinate an estimate, prevent abuse, measure website performance, and maintain a record of the request. Contact information is submitted only after consent.

Service providers

Approved service providers may process information for AI-assisted planning, customer relationship management, email delivery, analytics, security, hosting, and website operations. They may use the information only for the services they provide to the business.

Chat and phone transcript retention

An unlinked privacy-filtered website chat is retained for up to 30 days. A website-chat or phone-assistant transcript linked to a lead or project is retained while the work remains active and for 12 months after the lead or project reaches its recorded terminal state. Reopening the work cancels that expiry until it becomes terminal again. When transcript content expires, Orion may keep a minimal status record showing that a conversation existed and expired. Project Hub client messages and customer email follow the project business-record policy and are not deleted by this transcript schedule.

Safeguards and access

Transcript access is limited to authorized Orion renovation staff through the private operations workspace. Public users cannot browse transcript records, and contact information remains in the lead record rather than in retained transcript text. No security or automated redaction process can be guaranteed to prevent every error.

Your choices and contact

You may ask about, correct, or request deletion of your inquiry information where applicable by contacting hello@orionrenovation.ca. Analytics and security technologies may also be controlled through browser settings where available.
